Email visibility in each user’s contact record in Repfabric.
All the members of your team who have access to Repfabric are loaded into Repfabric under “Your company name- Manufacturers’ Rep” as a contact. Under your contact you have an “email” tab just like your customers and manufactures. This is where the email communications are stored so everyone one your team has access to all valuable communications. You don’t have to ask if someone sent an email, you can look at any of the contacts and find the emails.
Outgoing Emails can ONLY be marked private manually in the Email client inside your Repfabric instance. If you send an email from Outlook/Gmail you have to go in Repfabric email, open the email, and mark it private after the fact. Conversely, you can also open an email and remove the “private” setting.
Here are some key points to know:
- OWNERS can see all emails marked private under any contact.
- ANY person CC’d or BCC’d on an email will also be able to read the emails marked private
The following rules apply:
- Manufacturer emails to owner = private
- Vendor emails to owner = private
- Employee emails to a person who is NOT a contact in Repfabric = private
- Employee email to another employee = private
- A copy comes to each user’s email box and is synced to the user’s contact.
- The user will be able to see her copy in her contact email tab but not on any other user’s contact email tab.
- A user who is not involved in that email conversation will not be able to see the email from any of the contact’s email tabs involved in the email.
- If a user’s role is changed to or from OWNER the rules will apply to all future emails.
If these rules, or the ability to mark an individual email private, still don’t meet the restrictions you prefer, you can go to Settings > Users > Email Configuration and select “Mark all emails private.” Once that is clicked no one, anywhere in the system can find emails from you at the contact or opportunity records.
