Defining New Quote Templates

Repfabric’s Quote tool gives you the ability to build your own quote pdf templates to customize your quotes in the following scenarios:

  • Custom Logos for Lines
  • Various company physical office locations
  • Combinations and order of fields such as part number, prices, lead times, weights, units of measure and more
  • Default terms and conditions
  • Lot versus line item pricing

You can construct and save various quote templates, and choose which template to use when downloading or transmitting a quote through email.  This tutorial will demonstrate the basic steps to configure additional quote templates.

Accessing the Quote Template Definition Screen

  1. From the quote detail screen (or within a quote), click the Generate PDF button.
  2. Within the small dialog window, click the Settings button.   This opens the PDF definition page.

Creating your Template

  1. Name your template.  Best practices for the naming convention include:
    • if multiple manufacturers mentioned in line items, call it such with “Multiple” or “Superquote”
    • if using a manufacturer’s logo, make sure the manufacturer’s name is mentioned in the name
    • if using lot pricing, rather than showing individual prices per line item, call it such
    • if quoting end customers or end users instead of distributor net pricing (DNP), call it as such
    • if including weight, customer part numbers or other unique attributes not used in other quote templates, add them to the name
    • Office location of quotation if it changes quote to quote

Examples: “Superquote DNP w/ weight”, “Houston-MfgA, Lot price w Customer No”

2. Choose which quote type: “Normal Quote” for a single product line or brand, or “Superquote” for multiple lines or brands on a single quote.

3. Click the Save diskette icon to create the template

Customize your Quote

Quote Header Information

  1. If you want to change the company logo, click on the logo and select your brand logo from the file browser. **Logos must be of file type jpg, png, svg, or gif and pixel size 200W x 150H.  The system will autoscale to fit if square.**
  2. If you want to change the address, toggle the Modify Client Address to enable the address in the upper left corner to be changed.
  3. Similarly, optionally include Quote Topic, Footer notes and more using those toggles.

Line Item Information

  1. Add columns you want to include in the quote line items by selecting the 6 dots next to field name and drag into the Selected Columns or double click on the field. Reorder and resize as necessary to achieve your desired format.
  2. Reorder the columns by dragging and dropping the fields within the Selected column.

3.  Select any footer options you also want to add.

4. Note:

Manufacturer/Brand Terms and Conditions are kept on the manufacturer company record.  Please add them on the company record and they will automatically be included on the quote.

5. Click the Save diskette icon to store your new template.

6.  Your new quote template will be available to send by selecting it from the dropdown list within the Generate PDF button on the quote detail view.
